My top 1 Quickbooks Online alternatives
By Edouard Rosenblum, Co-founder @Secret
Memberstack
QuickBooks Online is what I pick when “membership” really means “billing + bookkeeping.” I can create recurring invoices, reconcile deposits via bank feeds, and keep customer balances visible without building any admin UI. The plan ladder is explicit: Simple Start ($35/month), Essentials ($65/month), Plus ($99/month), and Advanced ($235/month), with user caps commonly set at 1/3/5/25 users respectively, so I can match access to my ops reality, not my member count.
List of Alternatives to Quickbooks Online
Here are some of Quickbooks Online's top competitors in the Accounting category: Xero, FreshBooks, Memberstack or Zoho Books.

Ecommerce Bookkeeping with Payout Matching Rules
We moved our agency to Xero mainly for collaboration with our external accountant, and that part has been excellent. They can jump in at any time, leave notes, and review reconciliations without us sending files back and forth. The reporting pack is good for monthly reviews, particularly profit and loss and aged receivables, though I would not mind more built in management report layouts

Effortless Retainers with Recurring Billing
I mainly use FreshBooks for monthly retainers, and the recurring invoices plus saved client profiles make billing almost effortless, though I do wish the report customization went a bit deeper

MVP Launch Speed with Stripe Billing
Memberstack has been useful for launching an MVP fast. We did not need a heavy custom auth system, and the gated page rules plus Stripe billing got us live quickly. We found a 50 percent discount for the first six months through Joinsecret, and that helped keep costs reasonable during the early stage

Why is Memberstack a good alternative to Quickbooks Online?
QuickBooks Online is a strong alternative for a small business owner, operator, or bookkeeper who cares about clean financials more than on-site gating. If your “membership” is essentially monthly retainers, coaching packages, or subscription invoices, I like that QuickBooks keeps everything in one accounting system: recurring invoices for predictable billing, expense tracking, and bank feed reconciliation so deposits and payouts aren’t a spreadsheet project. The tiering can also match how you work internally: Simple Start at $35/month is a solo baseline, Plus at $99/month is where inventory/purchase-order style workflows typically make more sense, and Advanced at $235/month aligns with having a real finance team (and the much larger user cap). You still need a separate access layer for your site, but QuickBooks becomes the system of record for “paid vs. overdue.”
What are the differences between Memberstack and Quickbooks Online?
Memberstack is built around users logging in and unlocking pages, components, and data based on membership state. QuickBooks Online is built around a general ledger, invoices, bills, and reconciliation, so it can tell you “who owes what” and “what cleared the bank,” but it won’t restrict a Webflow page or issue an auth session. Pricing also maps differently: Memberstack’s tiers are tied to member count and include transaction-fee percentages (4% on Basic, then down to 0.9%, then 0% on the highest tier), while QuickBooks Online is a company subscription with tiered features and user limits (commonly 1 user on Simple Start, 3 on Essentials, 5 on Plus, 25 on Advanced). If I try to “swap” Memberstack for QuickBooks, the realistic approach is: use QuickBooks for recurring invoices, bookkeeping, and reporting, then push “paid/unpaid” status into my app via integrations so my app decides who gets access.

Client Portal That Speeds Up Approvals
We moved to Zoho Books after outgrowing spreadsheets, and the client portal has been one of the most useful parts. Customers can see estimates, approve them, and pay invoices without a lot of back and forth. The mobile app is also handy for checking overdue balances on the go. Inventory is fine for light needs, but I would not rely on it for a complex warehouse setup

Get deal for freeIndy is a France-focused accounting platform built for freelancers and small businesses who want to automate bookkeeping, invoicing, and key tax filings without hiring a full-time accountant. What makes it stand out is the combination of bank sync, VAT detection, legally compliant e-invoicing preparation (with the 2026–2027 rollout in mind), and an unusually strong free tier. Add JoinSecret’s 1-month-free deal, and Indy becomes a compelling “do-it-yourself, but guided” finance stack. Here’s my deep-dive review (pros, cons, alternatives, and best-fit users).

Client Portal That Keeps Everything Together
Indy is one of those tools that does a lot of small things right. Setting up branded invoices was quick, the payment status is easy to follow, and the dashboard gives me a decent snapshot of outstanding work. It is not a replacement for every finance tool out there, but for managing freelance operations it has been reliable and easy to stick with

Embracing Change: My Transition Journey to ADP Workforce Now
Transitioning to ADP Workforce Now has been an exciting journey! The communication process has been a unique learning experience, and the transfer, though it took a few weeks, was a testament to the thoroughness of the process. I had a lot of questions, and while some took a while to get answered, it was a great opportunity to explore the software's features on my own. There were a few hiccups with the tax calculations initially, but it was a valuable lesson in understanding the complexities of payroll systems. Since September, I've been actively working with ADP to ensure our paystubs comply with Minnesota's 224 pay stub requirements. Just days away from the deadline, I was informed that they couldn't add what I was asking for. This was surprising, but it also highlighted the importance of state-specific requirements in payroll management.Despite the challenges, I would still recommend ADP Workforce Now. It's important to remember that no system is perfect and there will always be room for improvement. What's commendable is that they have recently followed up to rectify the issue. This shows their commitment to customer satisfaction and their willingness to adapt and improve. It's been a rollercoaster ride, but one that's been filled with learning and growth!

Helpful for managing a lean startup team
As a small startup, we don’t have an in-house finance team, so payroll and accounting used to take up a lot of our time. Sleek handles salary calculations, payslips, and bookkeeping, which lets us focus more on product work instead of administrative tasks every month.
