At the start of each 2-week sprint, I set up a ClickUp space in which to work on the product. I create a list for the sprint's backlog, and customize my status list as "in Review" or "Blocked". I utilize custom fields (story points) when creating my lists, and switch back and forth between Kanban boards and calendar view to check for conflicts in scheduling. With native time tracking, I can record time worked directly onto the task. This allows me to keep all documentation related to an issue together in one place. I have also created an intake form that automatically creates new tasks based upon a predefined template. New bugs will be reported into this template pre-tagged and assigned. Clickup is free forever; unlimited at $7 per user/month billed annually; business at $12 per user/month billed annually.
Asana
I use Asana when work spans multiple projects: Timeline helps me see knock-on delays, Portfolios roll up status across initiatives, and Rules reduce “did anyone assign this?” churn by auto-assigning or moving tasks. The free Personal plan is explicitly for 1–2 people (2 users), so it stops being viable the moment a third collaborator needs full access. Starter starts at $10.99/user/month billed annually, and Advanced is $24.99/user/month billed annually.
Notion
Notion clicks for me when tasks need deep context: I store work in a task database with custom properties, dependencies, and multiple views (including timeline), then link tasks to specs, notes, and decisions on connected pages. I like that Notion’s Free plan includes databases “with subtasks, dependencies, custom properties”, and the same workspace can surface work in Notion Calendar instead of a separate calendar app. Pricing is Free, Plus at $10/member/month, and Business at $20/member/month.

Notion is the alternative I reach for when the problem isn’t “remember my tasks” but “keep the decision context attached to the tasks”. A product trio can run a tasks database (with dependencies and custom properties), store PRDs and meeting notes as linked pages, and then use different views (like timeline) to plan work without copying data between tools. I find Todoist to be a great alternative to Microsoft To Do because of its flexibility and functionality. It offers seamless integration with other platforms such as Google Calendar, Dropbox, and Slack, which makes it easier for me to manage tasks across different platforms. Todoist also allows the creation of sub-tasks and sub-projects, making it simpler to break down complex tasks into manageable parts. Another standout feature is its natural language processing capability where I can type in tasks just as I would say them and the app understands due dates, labels, and more. The Karma points system also adds a gamification element that helps in keeping me motivated to complete tasks. Trello Excels at Simplicity
Trello appears visually appealing and is very user-friendly for me. Its straightforward interface enables me to quickly grasp how to structure my tracking. However, I am not fond of the restriction on the number of custom fields. If I require custom fields now, I will likely need more in the future. I don't like being limited in the number of fields, which forces me to operate within the tool's constraints rather than my own understanding. I don't want to pay for something as basic as a field. I would prefer to be charged for baselining, enhanced reporting, or more advanced features, rather than being nickel and dimed for fields.

For years, I had a hard time with a task manager that was complicated and hard to use, which resulted in me not using it often. However, Things has changed this for me. It provides the perfect amount of customization and features an easy, intuitive user interface. I adore its sleek design and its power, yet it's simple to learn and use. It also syncs across all my devices, allowing me to access it wherever I am. It's a bit expensive, particularly if you want to use it on your Mac, iPhone, and iPad, but I think it's worth the cost. I switched to Things because it's simpler to use and the subscription fees for Nozbe were high and rising.
