01 Is Box any Good? My expert Review

As a professional who evaluates file management platforms frequently, I have had the privilege of using Box in various professional settings. When evaluating Box, I have found it to be reliable and user friendly, which allows for easier collaboration and file management. For instance, in a recent project, where their was multiple stakeholder involvement, Box allowed for all stakeholders (developers, marketing staff, etc.) to quickly pick up Box by virtue of its simple interface and ease of how to manage a shared files.

One of the things I have come to appreciate with Box's service is their version tracking. When working on overly complicated documents, like proposals or contracts, that undergo many rounds of editing and revisions, I wasted time looking for previous versions of a document among versions. More so, their signature capability has made my approval process easier. Recently, I have added the capability for contracts with partners outside my organization, and the flexibility of use is helpful, indeed approval was secure.

That said, there have been some challenges with working with Box's integrations. I worked on a recent software development project where a GitHub integration was required, and it took a fair amount of time and effort on my part to set it up initially because the documentation was often unclear. Likewise, I find Box's notifications to be inferior since my colleagues have time and again either missed important updates or information due to email notifications being assigned to junk/spam, and thus not displaying anywhere on their Box dashboard.

A number of my colleagues have shared with me that they, too, found a difficult transition from local storage, to cloud storage - and especially in small teams where both home access and file management can be offline. Nevertheless, the additional flexibility and security of moving to a cloud-based became valuable once it all got properly configured. Customer support has been slow to respond at times, but overall, Box's usability and capability of security and collaboration provides overall value.

02 Pros and cons from reviewers

Pros from reviewers

  • Customizable signature feature
Box provides an excellent interface for requesting signatures and allows for customization of the signature, seals, and date options, making the process of handling documents easier

  • Easy and intuitive user interface
Box has a user-friendly interface that makes it easy to navigate and manage files, making the process of working with files smooth and enjoyable

  • Secure file sharing
Box provides easy-to-understand permission settings for file sharing, allowing users to control access to their files securely.

  • Seamless implementation
The implementation of Box in departments or organizations can be virtually seamless and problem-free, enhancing productivity and collaboration

  • Version control
Box keeps track of all versions of stored documents and retains all previous revisions, making it easier to work with documents that require frequent updates by multiple people

Cons from reviewers

  • Limitations on file size
There can be limitations on the size of files shared or stored, which can limit Box's functionality.

  • Inefficient notification system
When a document is shared, coworkers are not notified in their Box dashboard and have to check their emails. Notifications may not always arrive in the primary inbox, but in Promotions or Spam

  • Difficulties with integration and file sharing
The process of integrating Box with other platforms like GitHub and setting up file sharing can be complex and time-consuming. This requires navigating numerous settings that may not be entirely clear and need further clarification

  • Transition from local to network storage
Box's transition from local storage (Box Sync) to pure network storage (Box Drive) as the default can be unnecessary for individuals and small organizations. There seems to be an option to mark individual directories for offline storage, but this needs to be selected from a menu

  • Poor customer service
The customer service could be improved as it typically takes three to four days to receive a proper response. Removing a user can also be challenging if you're not the administrator or owner

SharePoint enables team collaboration, intranet building, and workflow automation, making it a powerful choice for businesses that value customization and structured content management. Box, on the other hand, focuses primarily on secure cloud storage and ease of external collaboration, making it an ideal choice for businesses that require simple, efficient file sharing and strong data security.

    Granular Permissions & Expiring Links

Box has been solid for our client file sharing because the permission settings are granular enough to give freelancers access to one folder without exposing the rest of the workspace, and the shared links with expiry dates save a lot of back-and-forth
