I use Notion as a pre-purchase knowledge tool, integrated into our human resource management system. Everyone has access and we always stick to our initial plan. Our yearly expenditure is significant but still cheaper than the biggest competitor in the knowledge base market, without needing to make many distinctions. There are numerous possible integrations and I've seamlessly paired them with SCIM's automatic provisioning and deprovisioning of temporary users. I value the user-friendly interface which is easier to learn and use compared to its main competitor. The administration is clear and there's no complexity in managing or creating permissions. It's easy for leaders to grant permissions and inviting guests is straightforward. I also enjoy the simplicity of collaborating or working privately on a project. Once an item is added and removed from the workspace, end users can prevent it from being modified. However, there are some unofficial workspaces that were created and then abandoned. Even as the web administrator, deleting these workspaces is not easy. Also, our initial plan doesn't.

Notion: A Steep Learning Curve, but Worth the Climb
Capabilities. I'm likely only utilizing about 20-30% of Notion's full potential. However, it suits my needs as there are specific tasks that I can only complete using Notion. I've been a Notion user for 2 years now, but I confess, it was quite daunting initially, especially when seeing all the elaborate Notion boards on YouTube. I transitioned to Notion from Sheets because Sheets doesn't permit file storage. I would have to first upload them on drive and then hyperlink, which is simply more convenient on Notion.

Notion is one of the strongest knowledge management tools I've used. They were the first to use slash commands in document editing, which I now find indispensable. Their use of tables in documents can often replace Airtable, unless you're dealing with larger or more complex tasks. However, I find their task management capabilities lacking, especially for larger teams. Overall, I believe Notion is a solid choice for knowledge management within organizations.
