HubSpot
When I am in need of Marketing Automation that has a close relationship with Sales Activity, I use Hubspot because the CRM is the "Source of Truth" and all other elements are tied to it. An example flow I like is: Using Hubspot forms to collect leads, routing them to a specific pipeline stage and triggering a workflow which assigns ownership, generates tasks, and adds them to sequences for follow-up communications. Additionally, I also use lists (Active Filters) to maintain active segmentation based upon changes to lead property values. Finally, the reporting in Hubspot seems to be designed around Revenue Teams; i.e., lifecycle stages, deal attribution and dashboards that sales leadership reads.
Klaviyo
For online stores, Klaviyo is where I go when I want automations to be purchase-event-native. I build Flows off “Viewed Product”, “Started Checkout”, and “Placed Order”, then use conditional splits to tailor incentives for first-time vs repeat buyers. The SMS channel being designed alongside email (not bolted on) is the practical differentiator for me, especially for back-in-stock and shipping updates.
Customer.io
Customer.io wins for me when the trigger is product behavior rather than “email list management.” I like wiring events from my app (signup, feature-used, plan-upgraded) into Journeys and then mixing channels, email plus push or SMS, without rebuilding logic three times. The message layer is flexible: I can use dynamic attributes, webhooks, and transactional sends for receipts or password resets while keeping everything in one timeline per user.

I like HubSpot most for teams where marketing and sales share accountability for pipeline, especially a B2B company with SDRs and AEs who need structure. If you’re an ops lead, you’ll appreciate that lead routing, task creation, meeting links, deal stage updates, and email logging can live in one consistent system, so “who owns this lead?” isn’t a Slack thread. For a sales manager, pipeline views and deal-based reporting are immediately actionable, and workflows can enforce process (e.g., auto-create tasks when a deal moves stages). For a marketer, forms, lists, and workflow-based nurturing keep segmentation continuously updated without exporting CSVs. I also find it easier to scale governance in HubSpot, permissions, standardized properties, and object relationships, when you outgrow a single “marketer-run” automation tool.

I've been able to generate more leads at a lower cost and better qualify them before follow up using Outgrow. I use this tool to help my clients generate highly qualified leads. Outgrow quizzes have been one of the most successful lead magnets I've used due to their high conversion rates and the added benefit of qualifying leads before investing time and resources in follow up. As leads go through the quiz, they provide valuable demographic and psychographic information that allows us to tailor our offers to their specific needs and wants. Few leads will complete an extended form to provide this information, but they do complete an extended quiz because it's fun and promises value at the end. This level of intel and interactivity is not achievable with an ebook or video course. I highly recommend Outgrow to anyone looking for a lead generation tool that qualifies leads and aids in the sales process. My only complaint is that it's not a Wordpress plugin, although you can embed an Outgrow quiz on a Wordpress page.
