01 Is Xero any Good? My expert Review

I have been working in accounting for over 10 years and have tried many different accounting programs. It is hard to find a program that I am comfortable recommending however, Xero is easy to use and I can trust them. What I really like about Xero (the company) is the software itself seems relatively simple in layout and design, the non-accountant clients we work with (usually small business clients) seem to be able to figure the software out in a fairly short time. Most clients can go from not knowing anything about accounting software to understanding the structure of the software in a few days, and implement it within weeks. I assisted one local Canadian retailer with the online reinvoicing module and account reconciliation software, and, sooner than later but not too soon that she couldn't manage it going forward, was generating invoices and reconciling accounts on her own without additional services.

Xero is also awesome because it integrates into many third-party applications. For instance, I recently assisted one of my e-commerce clients with setting up their Shopify store to Xero, and it was painless! The automations have saved them hours of monthly data entry, and, was a win for businesses looking to scale without increasing manual administration. That said, at times customer service can seem slow. For instance, a client was having issues with the bank feeds, and once the client was referred to bank support, they weren't given an effective response in a timely manner which threw their system off for a considerable amount of time. Additionally, their payroll software in my opinion seems to be great for small teams; however, bigger companies may want for more.

At the end of the day, I believe that spending money on Xero was worth it considering my limited experiences; especially for small to medium companies wanting accounting software that works well and is easy to use. From the stand point of usability, and for integrating of applications, it's software that several of my clients are utilizing.

04 How Xero compare to similar software?

The simplest way to frame it is this: QuickBooks Online is a broader accounting platform, while Xero is a more streamlined bookkeeping experience that still covers serious SMB needs.

QuickBooks Online is the better match when you have, or expect, complexity: layered workflows, more detailed reporting requirements, and stakeholders who want finance to behave like an operating system, not a spreadsheet replacement. It’s also a common choice in the US when teams want accounting tightly connected with payroll and operational finance. For many companies, the trade-off is worth it: more configuration upfront, but fewer compromises later.

Xero shines when you want the books to stay accurate without turning your week into an accounting side quest. Its interface and core flows encourage frequent reconciliation and clean categorization, and the product puts collaboration, with accountants and bookkeepers, at the center. That makes it a strong fit for service businesses, founders who want...

When delving into the distinctions between two prominent cloud-based financial applications, Zoho and Xero, it becomes evident that several key factors set them apart. These differences revolve around the breadth of services offered, pricing structures, scalability, and integration capabilities.

Firstly, Zoho distinguishes itself by providing a comprehensive suite that extends well beyond accounting. It serves as a versatile one-stop solution accommodating the multifaceted needs of various industries. Zoho's unique advantage lies in its seamless integration with other Zoho products like CRM, project management, and HR, creating a unified ecosystem. In contrast, Xero primarily focuses on accounting and financial management, making it a more specialized choice.

When analyzing pricing plans, Zoho emerges as the more cost-effective option. It not only offers competitive rates but also provides a free trial with limited features, making it accessible for businesses exploring their options....

Xero and QuickBooks are two leading accounting software solutions designed to simplify financial management for businesses. While they share common functionalities, there are key differences that can influence your choice between the two.

One of the most significant distinctions is the user interface and overall user experience. Xero is renowned for its intuitive and user-friendly interface, making it accessible even for those with limited accounting experience. QuickBooks, on the other hand, offers a robust feature set but may have a steeper learning curve due to its comprehensive nature.

Another important factor to consider is scalability. Xero is a cloud-based accounting software that is particularly well-suited for small to medium-sized businesses. It allows for easy collaboration among team members and provides the flexibility to access your financial data from anywhere with an internet connection. QuickBooks, while also offering cloud-based options, is known for its scalability...

  • Dissatisfied Users of Other Accounting Software
Users who find other accounting software like Sage Line 50 and Quickbooks complex and lacking in essential features and integrations may find Xero a better alternative. However, they should be aware of the occasional challenges in setting up bank feeds and the limitations in reporting.

  • Startups
Xero is beneficial for startup founders who often juggle various roles. The dashboard provides a clear overview of the company's performance and helps in managing the runway. However, they might find the lack of inbuilt payroll support a drawback

  • Small Business Owners
These users will appreciate Xero's user-friendly interface and the ability to handle financial matters independently. The software offers clear reporting, seamless invoicing, and simple account reconciliation

  • Accountants and Financial Advisors
Xero is a great tool for these professionals due to its open-platform ethos and features like Cash Coding and Find & Recode. The software also allows for easy import and undoing of bank transactions

  • Remote Teams
Teams that do not operate from a central office will find Xero's online feature particularly useful. The software allows for easy sharing of access with team members and accountants

Ecommerce Bookkeeping with Payout Matching Rules

We moved our agency to Xero mainly for collaboration with our external accountant, and that part has been excellent. They can jump in at any time, leave notes, and review reconciliations without us sending files back and forth. The reporting pack is good for monthly reviews, particularly profit and loss and aged receivables, though I would not mind more built in management report layouts

Recurring Billing & Expense Claims that Just Work

Xero is one of the few accounting tools I have used that non finance staff did not immediately hate. The layout is simple, attaching files to bills is easy, and the fixed asset register has been handy for tracking equipment purchases. There is a learning curve around reports if you want something very specific, but day to day use is smooth. We also got an intro offer via Joinsecret that cut the cost sharply for six months, which was genuinely helpful at startup

    Streamlined Accounts Payable & Approvals

What sold me on Xero was how well it handles VAT and invoice templates without feeling bloated. It is straightforward for day to day bookkeeping, and the integration with Stripe and payroll apps meant we did not have to rebuild our whole process. I signed up through Joinsecret and got a steep discount for the first six months, which helped while we were still getting everything in place

    VAT-Ready Invoicing with Key Integrations

We use Xero across a small team and the permissions are flexible enough that our bookkeeper, ops manager, and accountant can each do what they need without stepping on each other. I also appreciate the audit trail on edited transactions because it makes it much easier to track down who changed what

  • Rick Gerlach

Team Collaboration, Permissions & Audit Trail

Xero made month end less painful for us. The bank reconciliation screen is fast, the suggested matches are usually right, and attaching bills to transactions helps when our accountant asks questions. Reporting is solid for a small business, although I sometimes export to Excel for more custom views

  • Stacey Doyle

    Cleaner Month-End with Fast Reconciliation

I like Xero for invoicing because recurring invoices, automatic reminders, and online payment links cut down the back and forth with clients. The mobile app is actually useful for sending invoices right after a job, and expense capture works well enough for receipts, even if I occasionally need to tidy up a category later

Time-Saving Bank Feeds & Smart Rules

We switched to Xero from spreadsheets and the bank feed rules alone saved us a lot of time, especially for repeat supplier payments. The dashboard is clean and I can see cash flow, overdue invoices, and upcoming bills without digging around, though I still had to spend a bit of time setting up the chart of accounts properly at the start

Simple UI Non-Finance Staff Can Use

I run a small ecommerce business and Xero has been good for keeping bookkeeping organized alongside inventory and payment integrations. Matching payouts and fees still needs attention, but once the rules are in place it is manageable. The invoice reminders and statement feature have improved collections more than I expected, and getting the first half year heavily discounted through Joinsecret was a nice bonus rather than the main reason I chose it

  • Monet Koch

Seamless Accountant Collaboration & Monthly Reporting

Xero has been reliable for accounts payable in our business. Bills are easy to schedule, approval flow is simple, and the contact history helps when we need to check past payment terms. The search could be a little better in edge cases, but overall it is much easier to work in than older desktop software. I also came in through Joinsecret and the reduced pricing early on made the switch less risky

    April 26, 2026

  • Sidney White

Joinsecret Discount Gave Breathing Room for Setup & Automation

Also got the Joinsecret 90% off offer for Xero, and it was a nice cushion during the first couple months while we set up tracking categories and dialed in automation rules without feeling rushed by the subscription cost.
