01 Is xTiles any Good? My expert Review

I have used Xtiles as my primary way of organizing both work related and personal projects for about six months now. One thing that I find very appealing is the visual flexibility of Xtiles over other note taking applications. For example, I use Xtiles to plan content calendars and manage some of my freelance work. The customizable layout of each board was extremely useful for me.

As an example; I made a research board for a client project to keep web clippings, images and notes all in the same location. By arranging the items visually, I was able to connect ideas that may have never surfaced while reading through a linear document. Additionally, I find the pre-built template feature (ie. weekly planning, travel itineraries) to be extremely useful as they saved me hours of creating these types of workflow processes.

However, Xtiles isn't perfect. The mobile version of the application seems less capable than the desktop version. This can be frustrating at times when I am trying to quickly record an idea from anywhere. I have experienced a few instances of delayed synchronization between my devices although this has never been a showstopper. Lastly, the learning curve for Xtiles is much longer than for applications such as Notion or Trello. It took me around 2 weeks to truly grasp how to utilize Xtiles fully.

In summary, Xtiles is a great option for those who are looking for a high degree of visual organization that allows them to organize their space to fit their own way of thinking. However, those who are organized using a simple list based system may feel overwhelmed by the amount of options available.

02 Pros and cons from reviewers

Pros from reviewers

  • Intuitive Visual Organization
Xtiles offers a highly visual and flexible canvas-based interface that allows users to organize information, tasks, and projects spatially, making it easier to see connections and maintain context compared to traditional linear note-taking tools

  • Real-Time Collaboration
The platform enables seamless team collaboration with real-time updates, shared workspaces, and multi-user editing capabilities, ensuring everyone stays synchronized and can contribute simultaneously to projects

  • Versatile Content Integration
Xtiles supports embedding and integrating various content types including documents, images, videos, web links, and third-party app integrations all within a single unified workspace, eliminating the need to switch between multiple applications

  • Customizable Templates and Workflows
Users can create and utilize pre-built templates or design custom workflows tailored to specific needs, whether for project management, content planning, research organization, or personal productivity, significantly reducing setup time

  • Cross-Platform Accessibility
Xtiles provides consistent access across desktop, web, and mobile devices with automatic synchronization, allowing users to capture ideas, update projects, and review information from anywhere at any time without losing productivity

Cons from reviewers

  • Occasional Performance Issues
Users report periodic lag and slower loading times when working with large databases or heavily customized dashboards, particularly when embedding multiple widgets or external content

  • Limited Free Plan
The free tier offers restricted features and limited storage space, which may not be sufficient for users with extensive organization needs or those managing multiple projects simultaneously

  • Steep Learning Curve
New users often find the interface and customization options overwhelming at first, requiring significant time investment to master the platform's full potential and create efficient workflows

  • Mobile Experience Limitations
The mobile app lacks some desktop features and the responsive design doesn't always translate well to smaller screens, making on-the-go productivity less seamless than competitors

  • Collaboration Features
Real-time collaboration capabilities are less developed compared to established competitors like Notion or Coda, with limited permissions settings and fewer options for team-based workflows

    Visual Planning Without Rigid Databases

xTiles works well if you think visually and do not want a tool that forces everything into spreadsheets or rigid databases, and in my case the discounted rate I found through Joinsecret, around 20% off the subscription, made upgrading easier once I knew I was using it regularly

    Practical Personal Workflow Spaces

For personal workflow management, xTiles has been surprisingly practical because I can keep goals, reading notes, and work tasks in separate spaces without the whole setup feeling overbuilt, and getting a reduced price via Joinsecret on the yearly option was a nice extra rather than the main reason I stayed

    Fast Notes-to-Workspace Transformation

I use xTiles for research and project briefs, and the part I like most is how quickly you can turn a messy page of notes into a clean workspace with blocks and sections, though I still wish a few formatting options were a bit deeper
