What I look for when evaluating AI-based transcription tools is whether they remove friction from taking notes during the call and what use I am able to make of the output after the call is done. Otter.ai does both through offering live transcription along with post-meeting summaries, action items, and an AI chat focused specifically on meetings that allows me to easily find information from previous conversations.

I’m also impressed by how Otter is evolving beyond “just transcription.” Its newer positioning around AI meeting workflows and templates, plus integrations like Zapier, nudges it into lightweight operations territory, turning conversations into repeatable outputs. Where Otter still needs polish is in the messy real world: overlapping speakers, strong accents, and noisy environments can force manual cleanup, and reviewers also call out basic editing controls and sometimes intrusive upsell prompts. The other practical constraint is pricing structure: the free plan is genuinely useful, but it has firm caps (e.g., 300 minutes/month and short per-conversation limits), so regular meeting-heavy users will hit limits quickly.
I would recommend Otter to people who spend a lot of their time in meetings and need a reliable "system of record" to document decisions and follow-up items -- particularly those whose organizations use Zoom, Teams, and/or Meet and who can standardize meeting templates. The best way to look at it is as follows - Fathom AI is optimized for execution and Otter.ai is optimized for retrieval. Both will generate a transcript and a summary; however, they have some differences in how they are used on a daily basis. Fathom has its 'center of gravity' on the recap, highlights, structured notes, action items and the ability to share your results. This is why it seems to work so well for sales teams, customer success managers and entrepreneurs who have back-to-back meetings and require their results to be directly usable.
Otter.ai is a different kind of meeting knowledge management application than Fathom. The features that Otter's pricing page lists (AI Chat in and out of meetings, meeting workflow, etc.) are clearly designed to support organizations to review and ask questions about meeting content going forward, rather than simply turning the last meeting into an email follow-up.
