01 Is Todoist any Good? My expert Review

Todoist is a solid productivity tool that's intuitive, easy to use, and works seamlessly across different devices. It's especially handy for managing complex team projects, allowing smooth task assignments and progress tracking—even when team members are scattered across time zones. The mobile app really shines here, letting you stay on top of things wherever you go.

On the flip side, the free version can feel a bit tight if you're juggling multiple projects or collaborators, nudging users toward the paid option. Privacy controls could also use a boost, especially when handling sensitive tasks within shared projects. And while the Karma points system initially felt like an unnecessary distraction, it eventually grew on me as a gentle nudge toward productivity.

Overall though, despite these small hiccups, Todoist remains a reliable companion that genuinely boosts productivity and simplifies teamwork.

02 Pros and cons from reviewers

Pros from reviewers

  • Automation feature
Todoist's automation feature makes entering information easy, requiring only basic details and taking care of the rest of the planning, sorting, and prioritizing

  • Minimalistic mobile app
The mobile app is straightforward and easy to navigate, with features such as setting up tasks, sub-tasks, adding members, and managing projects

  • User-friendly interface
Todoist is praised for its easy-to-use interface across all platforms, making it a pleasure to use for individuals and teams alike

  • Cross-platform functionality
Todoist operates smoothly across multiple systems without needing admin rights, providing a seamless experience for users

  • Affordable and reliable
Despite being a freemium service, Todoist is considered affordable and reliable, offering most of the necessary features without payment.

Cons from reviewers

  • Confusing features
Some users find the Karma points system and notifications confusing, and tasks disappear from the inbox immediately after completion, which can be disorienting

  • Poor customer service
Numerous users have reported issues with Todoist's customer service, including slow response times and unresolved bugs, which can be frustrating and time-consuming.

  • Lack of privacy features
Todoist does not offer the ability to keep tasks private, which can be a disadvantage for users who prefer to keep their tasks confidential

  • Limited free version
Todoist's freemium service limits free users to 5 active projects, 5 collaborators per project, and 5 MB file uploads, which may not be sufficient for larger teams or more complex projects

  • Limited customization
Todoist does not offer extensive customization options, particularly in terms of visual styles, which can be a drawback for users who prefer a more personalized interface

04 How Todoist compare to similar software?

Trello and Todoist are two popular tools for task management and project organization, each offering distinct features tailored to different productivity needs. However, they differ significantly in their approach to task management and how they support users in organizing their work.

Trello is a visual project management tool that utilizes a board-based system to help users manage tasks and projects. It is designed around the concept of boards, lists, and cards, allowing teams and individuals to create custom workflows that suit their specific needs. Each board represents a project, lists represent stages or categories within that project, and cards represent individual tasks. Trello's strength lies in its flexibility, making it easy to customize workflows with various power-ups, integrations, and automation features. This makes Trello an ideal choice for teams that need a collaborative space where they can visualize the progress of complex projects, move tasks through stages, and...

Notion and Todoist are excellent productivity tools that enable you to create, manage, and prioritize tasks easily. Their collaboration features help your team share information and communicate with each other, streamlining your tasks and projects. However, there is a notable difference between them regarding the scope of their application and related features. Todoist is a dedicated task manager with a focus on to-do lists. It lets you organize, label, and break down tasks and filter them by priority. You can create customized to-do lists using projects, sub-projects, tasks, and sub-tasks.

Compared to Todoist, Notion is a versatile, all-in-one productivity solution that goes beyond to-do lists. You can also use it to create company wikis, content calendars, and websites. Notion provides a more granular, detailed view of tasks. It also includes powerful note-taking features, including database creation, and generally more advanced features that support complex task and project...

ClickUp is a comprehensive project management platform that offers a wide range of features, including task management, time tracking, Gantt charts, Kanban boards, calendars, and reporting. It is also highly customizable, allowing users to tailor the platform to their specific needs. Todoist is a simple and intuitive task management app that focuses on helping users to get things done. It offers features such as task lists, due dates, priorities, and subtasks. Todoist also integrates with a variety of other apps, such as Google Calendar and Slack. The main difference between ClickUp and Todoist is their focus. Team Recurring Tasks with Clear Activity Logs

Todoist has been solid for keeping my team aligned on recurring tasks, especially with shared projects and comments, and the activity log makes it easy to see what was finished without digging through messages

Reminders, Quick Add, and Seamless Sync Across Devices

I started using Todoist just for personal organization, but the combination of reminders, quick add, and location-independent sync made it useful for work too, and I found a discounted annual rate via Joinsecret that made upgrading feel reasonable

Flexible Recurring Tasks with a Nice Annual Deal

The recurring task setup is better than most apps I've tried, especially for things that don't happen on a simple weekly pattern, and I got about 20% off the yearly subscription through Joinsecret which was a nice bonus rather than the main reason I signed up

Powerful Filters and a Discounted Upgrade

I mainly bought Todoist for myself, but the filter feature ended up being the reason I stuck with it since I can create custom views like overdue work tasks or errands tagged for weekends, and I happened to get a lower annual price through Joinsecret which made trying the paid plan feel easier

Weekly Reviews with “No Due Date” Filter

The integrations save me time, I forward emails into Todoist or turn a message into a task, and the two way calendar sync means I can time block around my tasks without duplicating everything, I just wish the notes area supported richer formatting for longer checklists

Email Integrations & Two-Way Calendar Sync

I like that Todoist stays out of my way, the design is clean, and the karma streaks are optional motivation, but the real value is being able to break big goals into sections and sub tasks so I can keep momentum without micromanaging every step

Clean Design, Optional Motivation, Real Momentum

I grabbed the 3 months free on Todoist via Joinsecret when I was comparing it with Things and Microsoft To Do, and the extra runway helped me set up a couple of shared projects and experiment with templates, I kept it mainly because the collaboration is simple and the comments on tasks are enough for small teams

  • Johnson Bauch

Simple Collaboration After a Real Trial

The recurring task options are more thoughtful than most apps I tried, especially for things like “every weekday” or “every 3 months” and I appreciate that you can see and adjust the next occurrence without breaking the series

  • Devon Ebert

    Smarter Recurring Tasks

Filters are where Todoist starts to feel like a lightweight personal workflow tool, I have one that shows “P1 or overdue, excluding waiting” and another for “next actions” by context, and I can share a project with my partner without turning it into a whole project management app

    Power Filters for Personal Workflows

The cross platform sync is solid, I bounce between Windows, iPhone, and the web app all day and tasks never feel out of date, and the keyboard shortcuts plus the inbox make it easy to capture stuff fast instead of letting it live in Slack or my head
