In our minds, this is a very significant hurdle for the vast majority of entrepreneurs attempting to build a business.
In our opinion, the Essentials plan is the minimum for the majority of businesses. If your business requires sending professional proposals and receiving timely payments without having to chase clients for payment, we recommend using the Essentials plan. This is the optimal plan for freelancers wanting to appear as a polished agency. However, if your company is a "company," (i.e., you have a brand to protect and a team to manage) the Premium plan is where we would steer you. White-labeling is a large advantage because it allows the focus to remain on your brand and not Bonsai’s, and the project insights provide you a high-level overview of your profitability that you simply do not receive on the lower tiered plans.
If you are operating a larger agency with many different components and external contractors, we believe that the Elite plan is the only viable option. In our opinion, once you require custom permission levels and/or heavy duty integrations such as HubSpot, you have outgrown the “small business” applications. We suggest evaluating your monthly volume; if you are handling multiple workflow processes and need a dedicated support team to prevent application issues, the cost of the Elite plan provides for the same level of peace of mind as it does value.

Bonsai doesn’t have a free plan (no “forever free” option like you'd find with Trello or Asana). That’s a little disappointing if you're looking to maintain a zero overhead budget, but it seems reasonable considering the depth of their legal templates & automation.
Instead of a free plan with some features removed, Bonsai offers a 7-day free trial. We think this is an even better deal than a stripped back free plan since there are no limits to the features available during the trial. You can test drive any of the tiers (Elite, Essentials) and get access to all of the contracts, client portal, and automated billing before committing to a payment.
In our experience, 7 days is a great amount of time to create a test project, send a test proposal, and figure out if the workflow fits the way you work. So treat those 7 days as a “sprint” to determine if the time you spend on administrative tasks will be worth the price of the subscription.
While we would have preferred a 14-day trial period, the fact that you can fully test drive the system (without feature limitations) makes the trial worth your while. Just be sure to provide your credit card information when signing up, so you won’t be charged a surprise fee if it’s not the best tool for you. Set a calendar reminder for day 6 of your trial, so you can cancel before being charged.
When we look at the limitations of Bonsai's free trial, the first limitation is the very short 7-day time frame. The time frame is quite a pressure cooker for a couple of reasons. On one hand, you will have complete access to all features of the plan you select (Elite automations, Premium white-labelling) for the entire time. On the other hand, you only have a week to determine whether the software will fit your workflow. While we believe that there are many work flows that would be difficult to test within a 7-day time period (e.g., a full client billing cycle or a complex project with multiple milestones), we understand that this may not be true for others.
The second limitation, which seems to trip up most users, is the need to provide a valid credit card number to sign-up. Unlike some "free freemium" tools where you can simply sign-up for an account and then cancel at a later date (if needed), Bonsai requires you to enter your credit card information in order to create an account. In addition to requiring a credit card number to be entered, if you do not cancel prior to the end of the 7-day trial period, you will automatically be switched over to a paid subscription.
We suggest creating a "test client" as soon as you set-up your new Bonsai account in order to see the portal from the client's viewpoint. In our experience, the greatest limitation of the free trial is not based on the functionality of the Bonsai software itself; since the trial version has the same complete feature-set as the paid version. Rather, the limitation lies in the practicality that in some cases 7-days may not be long enough to figure out whether a CRM will "click" with your daily habits.

How does Bonsai’s pricing model work?
The Bonsai pricing structure is based on a tiered per-user (or seat) pricing model. That means you pay for the number of users in your workspace, plus you pay for each feature you use. As a result, the pricing model is designed to scale with your business, however, we believe that the pricing model has the potential to increase rapidly as you add new seats to your workspace without proper oversight of your financials. There are four primary tiers in Bonsai's pricing model. While the monthly prices appear affordable ($15, $25), they represent the "starting at" prices, not the maximum possible price.
The biggest area where Bonsai differs from other companies is how much you pay monthly versus annually. If you commit to using Bonsai, we strongly suggest signing up for the annual plan; this will generally save you 20-30 percent of what you would spend per month. Therefore, the $25 Essential Plan, for example, will be approximately $19 per month. In our opinion, the only reason to choose the monthly payment option is to test the waters after your free trial period expires.
Lastly, you need to factor in the "hidden" costs. An example of a hidden cost is if you want to utilize the Bonsai Tax add-on, to enable tracking of expenses and write-offs, you will incur an additional $10/month charge. Additionally, many users do not realize that when they add a "partner" or a collaborator to their workspace, there is an additional $9/month per user added to their bill. To avoid a surprise, we recommend considering the total "fully loaded" cost of your entire team and all of the add-ons prior to committing to Bonsai. As we mentioned above, the $25 sticker price of Bonsai can quickly escalate to $50-$60 per month.
What are the main advantages of using Bonsai?
The most important advantages of Bonsai relate to how much work-time can be freed up by the non-working aspects of your job. Bonsai is not simply a hodgepodge of random tools; it was designed as a comprehensive system, wherein the creation of a proposal creates a contract, which will create the project, and then send invoices. We feel that the largest benefit here is the automated process. We feel that Bonsai is significantly better than most every other tool we have used regarding how it moves the lead through the pipeline to a paid customer.
A significant advantage of Bonsai are the quality of its template options. While many of Bonsai's competitors provide simple and poorly formatted documents (basic forms), Bonsai provides a variety of professionally formatted, legally reviewed templates that add a level of authority to your business branding that may be difficult to achieve on your own. In addition, we find Bonsai's integration of time tracking and expense management to be very useful; as opposed to having to open multiple tabs to determine whether a project is still making money for you, all of your information is now available in one place.
Ultimately, the greatest value of Bonsai is the "set it and forget it" aspect of its billing process. The automatic sending of reminders to clients when they are past due on their payments is a huge time saver. We feel that for anyone who does not enjoy the "babysitting" aspect of freelancing, these features make the cost of the subscription worthwhile. Additionally, it makes you appear to be a much larger and more organized entity than you may actually be.
What kinds of businesses should use Bonsai?
To determine which types of businesses should use Bonsai, the focus will be on the service-based world. Essentially, Bonsai is best suited for companies that sell based on time and expertise (not physical product). We feel Bonsai excels for the "creative entrepreneur" – graphic designers, copywriters & photographers who want their client-facing documents to be as polished as their actual body of work.
In our view, the ideal market for Bonsai is the "solopreneur-pus" stage. If you are a solo consultant or a small marketing agency with a handful of subcontractors (that rotate), the workflow is very easy to understand. For the individual that has had it with their "Franken-tech-stack," (using app #1 for contracts; app #2 for time tracking, etc.), Bonsai brings all of these tools together in one thread.
If you run an e-commerce shop or heavy manufacturing firm (high volume sales), this is NOT the tool for you. We would recommend Bonsai for your business if your day-to-day activities include: sending proposals, tracking billable hours, project milestones & legal binding agreements. If you have a professional that wants to spend LESS time "administering" and MORE time "doing", then Bonsai is the way to go.
Does Bonsai offer good value for money?
Whether Bonsai represents a good value for your money will depend heavily on what your sanity is worth. If you have three different applications (one for contracts, one for timesheets, and one for simple invoices) and a spreadsheet to track your time, the mere act of consolidating all of them into one application is an enormous plus. The true value of Bonsai lies in the 'billable hours' you can recapture from your week, rather than in the application itself. Each Friday you save yourself the time and hassle of doing admin work to chase down clients who owe you money is a huge benefit. That same ROI logic applies when you evaluate SaaS deals that help you consolidate tools and reclaim billable hours across your business.
I feel the Essentials package ($19-$25/mo) is probably the sweet spot for ROI for the majority of freelancers. Consider that a lawyer could charge you hundreds of dollars for drafting a custom contract. Having access to a library of vetted contract templates is a real bargain. I would suggest thinking about it this way: if the automated payment reminders can help you collect just one overdue invoice each year, then you've already gotten back twice what you spent on the software.
The value proposition becomes slightly more muddled as you move up to the Premium or Elite tiers. I don't see these being worth the extra cost unless you are using the team management and white-labeled features to justify the higher cost per user. I have also seen users become frustrated by "hidden" costs such as the $10/mo tax add-on and the high payment processing fees; therefore, I suggest including these in your monthly budget. Overall, I believe the cost to feature ratio is one of the best in the SaaS space for a solo pro or small agency.

While the basic plan does exist for individuals who simply want a digital task list, I think the majority of users will realize fairly quickly that the Basic Plan simply doesn’t have the “substance” of a true business tool. I believe Essentials is so far ahead of the pack, as it provides the exact same features that Bonsai has become known for – the professional contract templates and automated invoicing that freelancers require to be paid.
In my opinion, the Essentials plan is located at that sweet spot (the Goldilocks zone) for today's solo-entrepreneur. The pricing is reasonable enough that it doesn’t feel like a huge expense; however, it offers an enormous increase in functionality compared to the Basic Plan. I would recommend this plan to approximately 80% of the individuals I speak with since it opens up the client portal and the scheduling tools. In my opinion, if you are not utilizing the client portal to provide your clients with a professional dashboard then you are leaving the platform open to half its potential.
Although the Premium plan is gaining popularity among those looking for that “white label” appearance, I believe Essentials will remain the most popular due to the fact that it addresses the primary concern of freelancers — paperwork — without requiring you to spend the extra money for the agency-level features provided by the Premium plan. This is why I consider it the “bread and butter” of the platform; it is where the automation truly begins to feel like a second employee.
