Excel
Excel is a flexible spreadsheet application that most of us are familiar with and many will turn to regularly. It is a more than capable alternative to Smartsheet, whether that be for tracking data (or spreadsheets), charting, or doing calculations. For example, if you run a small business, tracking their inventory and budgets or analyzing your sales from one month to the next, Excel will have you covered.
However, in my opinion, Excel is not as well equipped as Smartsheet with project management relevant functionality; Smartsheet's collaboration, task management, and automation functionalities are impressive and easy to use. If you require something more detailed in terms of project management, Smartsheet may work better for you; but for standard data management and simple calculations, Excel is still a good option and better than others.
Monday
Monday is another excellent alternative to Smartsheet. It's a project management tool that allows teams to collaborate and manage tasks efficiently. For example, a marketing team can use Monday to plan their content calendar, track the progress of different campaigns, and assign tasks to team members. It's visually appealing and easy to use, but it might not be as comprehensive as Smartsheet in terms of data management.
Asana

Smartsheet offers a highly customizable interface which allows me to adjust the platform to suit my workflow, instead of having to adapt my processes to fit the tool. It also supports automated workflows, making routine tasks more efficient.
In terms of collaboration, Smartsheet's ability to integrate with other tools like Slack, Google Workspace, and Microsoft Teams makes it easier for my team to stay connected and on track. The platform also includes excellent reporting and visualization tools that help in tracking project progress and making data-driven decisions.
Lastly, I appreciate the fact that Smartsheet offers a free trial period. This gives me an opportunity to test out its features before fully committing, ensuring it's the right fit for my needs.

I’ve been using Jira for project management recently, and honestly, it’s just a genuinely good product. When you are managing moving parts and need to keep everything on track, having a tool that is actually useful—rather than just another administrative burden—makes all the difference. A huge part of why it's so accessible comes down to the front-end experience. It features a really nice, clean user interface that gets out of your own way. I absolutely love the design and the customization options. You can tailor your boards, fields, and workflows to fit your exact operational style, rather than being forced to adapt your process to fit the software. The real magic happens when you start expanding its capabilities. Jira connects seamlessly with just about every other app you might be using. By hooking it up to the rest of your tech stack, it adds so much more functionality, turning it from a simple task tracker into a centralized hub for your entire workflow. Overall, it’s a highly effective platform that successfully balances deep customization with an easy-to-digest design. Highly recommended.

Microsoft Project – Solid, but shows its age
We've been using Microsoft Project for a while in our mid-sized team. It’s definitely built for structure — scheduling, dependencies, critical paths — all of that works well if you take the time to set it up right. But in practice, we’ve faced a few limitations: Too steep a learning curve for non-PM team members Limited collaboration unless paired with other Microsoft tools Reporting and dashboarding feel outdated without Power BI integration Not as adaptable for hybrid or agile workflows It does its job for traditional project plans, but if your team is evolving or distributed, you might start feeling the friction. We’re exploring alternatives that are more modern and better suited for cross-functional teams — still testing things out. Trello appears visually appealing and is very user-friendly for me. Its straightforward interface enables me to quickly grasp how to structure my tracking. However, I am not fond of the restriction on the number of custom fields. If I require custom fields now, I will likely need more in the future. I don't like being limited in the number of fields, which forces me to operate within the tool's constraints rather than my own understanding. I don't want to pay for something as basic as a field. I would prefer to be charged for baselining, enhanced reporting, or more advanced features, rather than being nickel and dimed for fields.

I believe that tools like AppSheet should be utilized even without extensive training in the field, as they can yield excellent results. I had a positive experience using it in a tourism project with a systems-focused partner. It simplified our job during the mobile app development. Even for non-programmers, it's user-friendly as it's based on "Excel" spreadsheets and has a straightforward data structure. Features that impressed us include its ability to establish small workflows, GPS and maps support, and the option to activate notifications. It can also be accessed offline. Another notable feature is its storage capabilities - it supports any Cloud provider, which I think adds significant value. I don't see any downsides to it. I believe it's a tool that offers opportunities for professionals from non-technical fields.

I prefer Projectmanager.com to the simple time keeping app we used before. It offers more detailed project management, though it doesn't quite match MS Project's capabilities. It's useful for team collaboration and predictable project management. I value the ability to create a detailed project plan, including budget and dates, which are clearly displayed in a Gantt chart. It's perfect for straightforward projects with a clear task list, and it allows the team to track their time and monitor the project's budget and financial progress. I also like the updated interface, which took some time to get used to. However, I find the reporting somewhat challenging and wish it was more flexible and customizable. This software isn't ideal for managing long or complex projects with many iterations. If a project is iterative and develops over time, maintaining it can be time-consuming. The vendor responded to my feedback, expressing appreciation for my review and promising to pass my comments about the reporting to their product team.
