01 Is Airbase any Good? My expert Review
As an airbase expert who has reviewed multiple expenses management applications in the past, I recently had the chance to utilize Airbase in detail. I like to think of myself as a pretty experienced user of expense software and I see Airbase as a solid and simple application that takes accounting and finance to the next level. During my review, I found it especially helpful in simplifying accounting flows and creating more accuracy overall.
One example of when Airbase shined bright with me, was when I was on-board a reporting period and was able to execute the process without the struggles of manual coding errors experienced by finance teams in the past, and minimal time using for reconciliations. The automated OCR functionality (with bill coding and receipt management features) really made everything super-fast and smooth. Ultimately, human error was reduced, and time was freed up to do more strategic work.
Another thing that I thought was nice was that Airbase makes it easy to track spending while it is still happening. For example, sometimes I work with a department head and they need to quickly see how much is in their budget without looping in accounting/finance for clarity. I appreciated how Airbase provided department heads a better gaze into their spending and allowed them to track it independently with accuracy and transparency creating more ownership across departments.
However, I did discover some limitations during review. For example, I was supporting a global client with their international vendor payment process and cross border payments was not supported by the application (which made my process slightly complicated). Also, when I set up new users and workflows, I found that advanced features should even be discussed and thought out before the planning process starts so decisions can be made to meet expectations.
Overall, I recommend Airbase. Overall thoughts have been even-keeled. With responsive customer service and assistance up and through the onboarding process, any things we dealt with were justified and made our experience engaging. In conclusion, from what I have seen from the way Airbase has been built; with automation, transparency, and ease of use, it checks a lot of boxes for a company looking to commit to a financial management platform.

Effortless Operation with Airbase
My overall experience with Airbase has been fantastic. It has allowed us to close more accurately and promptly. We no longer have difficulties determining the expenditure on various cards as they have all been pre-categorized. Despite the initial setup taking a bit longer, it's worth it for the precision. The best feature of Airbase is its seamless integration with QBO. This enables me to establish prepaids on Airbase that automatically sync to QBO for a monthly close. Cards are automatically programmed to charge a specific GL code, removing the need to revisit monthly to determine the expenditure and where to charge it. However, when making some entries, it doesn't adopt a new naming convention but uses the most recent journal entry naming convention for the journal entry title, which can be confusing. We switched to Airbase because we desired more accuracy, promptness, and a comprehensive product.

Essential Tool for Business Expansion
With Airbase, we've gained more control over our expenses, increased visibility, and improved our monthly closing timing. As our startup grew beyond 100 people, we recognized the need for a spend management software. Airbase, with its multitude of features, was easy to implement and their product team is consistently working towards continuous improvement. However, I believe there is a need for a reconciliation tool to ensure all prepaid accounts are cleared and booked and that the amortization expense is accurate. We chose Airbase because the cash back effectively offsets the cost of the product and they are constantly adding the features we need. We switched to Airbase to have an all-in-one system that could include an approvals workflow.

Airbase: Revolutionizing our AP Workflow!
Airbase has solved our complicated credit card reconciliation problems, offering us pre-approvals and real-time visibility into all spending as it occurs. As an accounting team, we no longer feel like we're constantly catching up at the end of the month. We use the virtual cards, physical cards, POs, and bills/bill payments. Each feature operates flawlessly and syncs directly with our ERP, Netsuite, saving us a lot of time in reconciliation. Our employees value the virtual card feature and the simplicity of approvals. My only critique is the absence of Expense Reimbursements. As a finance team, we are eagerly waiting for the day when this feature will be included in Airbase. We selected Airbase for its price, functionality, and ease of implementation. We switched to Airbase because we required a comprehensive AP solution for credit cards, vendor payments, and POs.

Efficient Vendor Management, Payment, and Compliance with Airbase
I find all the features of Airbase excellent. I use it daily to upload vendor bills and establish approval flows. Having an approval flow for each invoice is crucial as it holds managers and team members accountable and reduces the need for constant emails to and from the finance team. The option to amortize any prepaid expenses is also beneficial, and Airbase generates journal entries to sync with our ERP, reducing errors and manual steps during our close process. The virtual cards are an excellent tool. They come with an approval process, spending limits can be set, and cards can be locked if necessary. This is a great way to ensure company compliance and keep spending within budget. I must also praise the customer service. They are quick to respond and resolve any issues, which is important to us and our vendors. We have never had a bad experience with the Airbase team. There are a few areas for improvement, which we have communicated to the Airbase team.
